Privacy Policy
How we collect, use and protect your personal information — written to be read, not to be skimmed past.
On this page
Claim Support Zone (“we”, “us”, “our”) is an independent insurance brokerage. This policy explains what personal information we collect, why we collect it, who we share it with, and the rights you have over it. It applies to claimsupportzone.com and to all brokerage services we provide.
The short version
We collect what we need to get you accurate quotes. We share it with carriers to obtain those quotes, and with service providers who help us operate. We never sell your data. You can access, correct or delete your information, and opt out of marketing at any time.
1. Information We Collect
We collect information you provide directly, information generated automatically when you use this website, and information supplied by insurance carriers and data providers in the course of arranging your cover.
Information you give us
- Contact details — name, email address, postal address, telephone number.
- Quote information — date of birth, ZIP code, property details, vehicle details, business details, and household composition.
- Sensitive information — for health and life cover we may collect medical history and lifestyle information. This is treated as a special category of personal data and handled under stricter controls.
- Correspondence — messages you send through our forms, by email, or during recorded telephone calls.
Information collected automatically
- IP address, browser type, device type, operating system, and referring page.
- Pages visited, time spent, and interactions with forms and links.
- Cookie identifiers, as described in section 6.
Information from third parties
- Carrier quotes and underwriting decisions.
- Consumer reporting agencies (including CLUE and MVR reports) where permitted by law and where you have authorised us.
- Publicly available property and business records.
2. How We Use Your Information
We process your personal information for the following purposes:
- To provide brokerage services — obtaining quotes, placing cover, servicing policies, and handling claims on your behalf.
- To communicate with you — responding to enquiries, sending renewal reminders, and providing policy documentation.
- To send marketing — only where you have opted in, and only until you opt out.
- To improve our services — analysing aggregate website usage and reviewing recorded calls for training and quality assurance.
- To meet legal obligations — including state insurance regulations, anti-fraud requirements, and record-retention rules.
We do not use automated decision-making that produces legal or similarly significant effects without human review. Carrier underwriting decisions are made by the carrier, not by us.
3. Legal Bases For Processing
Where the GDPR or comparable legislation applies to you, we rely on the following legal bases:
- Contract — processing necessary to arrange and service the insurance you have asked us to place.
- Legitimate interests — improving our services, preventing fraud, and maintaining the security of our systems, balanced against your rights.
- Consent — marketing communications and non-essential cookies. You may withdraw consent at any time.
- Legal obligation — regulatory reporting and record keeping.
- Explicit consent — for special category data such as health information.
4. How We Share Information
We share your information only where necessary, and never sell it. Recipients may include:
- Insurance carriers and underwriters — to obtain quotes and place your cover.
- Service providers — email delivery, secure hosting, CRM, and document storage, each bound by written data processing agreements.
- Regulators and law enforcement — where legally required, or in response to a valid legal process.
- Professional advisers — auditors and legal counsel under duties of confidentiality.
- A successor entity — in the event of a merger or acquisition, subject to this policy continuing to apply.
We do not sell personal information, and we do not share it for cross-context behavioural advertising as those terms are defined under the California Consumer Privacy Act.
5. Data Retention
We keep your information only as long as necessary:
- Active client records — for the duration of the relationship plus seven years, as required by state insurance regulations.
- Quote enquiries that do not proceed — 24 months.
- Marketing preferences and suppression lists — indefinitely, so we can honour your opt-out.
- Website analytics — 26 months in identifiable form.
- Recorded calls — 12 months, or longer where a claim or dispute is open.
6. Cookies And Tracking
We use a small number of cookies:
- Strictly necessary — session management and security. These cannot be disabled.
- Preference — remembering choices such as saved quote progress.
- Analytics — aggregate usage statistics, set only with your consent.
You can control cookies through your browser settings. Blocking strictly necessary cookies may prevent parts of this website from functioning. We honour Global Privacy Control signals where your browser sends them.
7. Your Rights And Choices
Depending on where you live, you may have the right to:
- Access the personal information we hold about you.
- Correct inaccurate or incomplete information.
- Delete your information, subject to our regulatory retention obligations.
- Port your data to another provider in a machine-readable format.
- Opt out of marketing at any time, via the unsubscribe link in any email or our unsubscribe page.
- Restrict or object to certain processing.
- Withdraw consent where processing is based on consent.
- Non-discrimination — we will not deny service or charge different prices because you exercised a privacy right.
To exercise any of these, email privacy@claimsupportzone.com or write to us at the address in section 10. We respond within 45 days and will verify your identity before acting. You may use an authorised agent, with written permission.
8. Data Security
We maintain administrative, technical and physical safeguards appropriate to the sensitivity of the information we hold, including TLS 1.3 encryption in transit, AES-256 encryption at rest, role-based access controls, mandatory multi-factor authentication for all staff, annual penetration testing, and documented incident response procedures.
No system is perfectly secure. If a breach affects your personal information we will notify you and the relevant regulators within the timeframes required by applicable law.
9. Children’s Privacy
This website is not directed at children under 16 and we do not knowingly collect their personal information. Where a child is named as a dependent or beneficiary on a policy, that information is provided by the adult policyholder and processed solely for the purpose of arranging cover. If you believe a child has provided us information directly, contact us and we will delete it.
